Catering Event Producer
Urban Affair NYC is seeking a detail-oriented, client-focused Catering Event Producer to lead the planning and execution of high-end off-premise catering events. This role serves as the primary liaison between clients and our internal teams, ensuring that every event is executed seamlessly and meets the highest standards of hospitality and professionalism.
From menu coordination to rentals, staffing, and day-of logistics, the Event Producer manages every detail to create extraordinary experiences that reflect the Urban Affair NYC brand.

Essential Functions & Responsibilities
- Respond to client inquiries and generate detailed proposals and quotes
- Serve as the main point of contact for clients during the planning process
- Coordinate production details including timelines, menus, rentals, and staffing
- Update and manage Banquet Event Orders, including last-minute adjustments
- Lead venue walkthroughs and site visits with clients and internal teams
- Handle administrative tasks such as:
- Creating and managing rental orders
- Applying for liquor permits
- Requesting Certificates of Insurance
- Drafting and updating event menus
- Attend key events to provide on-site support and oversee execution
- Schedule and facilitate tastings with clients and the culinary team
- Collaborate with the Events Team to design unique off-premise experiences
- Ensure service excellence and brand alignment throughout all stages
- Be available for evenings, weekends, holidays, and flexible schedules
- Approach on-site challenges with composure and a proactive mindset
Experience & Qualifications
- 1+ years of experience in catering, event production, or hospitality client services
- Bachelor’s degree in hospitality, event management, or equivalent experience
- Proficiency in catering systems, CRMs, Microsoft Office, and Excel
- Strong understanding of off-premise event logistics and operational flow
- Passion for hospitality, events, and client service excellence
- Highly organized, self-motivated, and detail-driven
- Excellent communication skills—both written and verbal
- Able to multitask and manage priorities under tight deadlines
